Safety Guidelines for Small Fleets
Safety comes first when you own a fleet of vehicles. Here are some safety tips to help you control fleet exposure.
Select drivers with acceptable past driver histories by:
- Collecting a written application
- Performing a reference check
- Conducting a personal interview with a responsible member of management
Motor vehicle reports (MVRs) should be:
- Secured on any prospective driver before hire
- Secured on existing drivers at least annually
Conduct initial orientation and training:
- A responsible member of management should provide orientation for each driver, covering the company's expectations regarding vehicle operation and safe driving techniques.
- You should be satified that the new driver can handle and operate the type of vehicle he or she has been assigned. This can be accomplished by:
- An in-depth interview
- A road test supervised by management
- Physically reviewing the driver's license to confirm that it permits use of the type of vehicles insured
Ongoing training is invaluable. Take the time to implement:
- Periodic driver/management safety meetings
- Periodic reviews of safe driving concepts
- Driver suggestion programs
- Safety incentive programs
Set up a program to remove poor drivers from operating company equipment:
- Identify problem drivers by observing driving habits, reported accidents, traffic violations, complaints, etc.
- Provide drivers additional training, give warnings and impose penalties when warranted
Investigate accidents by:
- Identifying all causes and contributing factors
- Taking corrective actions
- Documenting occurrences
Perform preventive maintenance:
- Place all vehicles on a maintenance schedule based on mileage and time
- Use a fully staffed maintenance department of the company or an outside fully staffed repair facility to perform vehicle maintenance
- Make sure there is a vehicle inspection program
Responsible management:
- Insist that the supervisor(s) or person(s) handling these responsibilities has been trained or is experienced in fleet safety
